How much does wedding transportation cost? Count the hours, not the rides
Transport is priced by the hour, and the hours run from the first pickup to the last drop-off, dinner included. Work out that span from your day, choose the vehicle by how many people ride, and the quote stops being a surprise.

The short answer
A guest shuttle is billed by the hour, usually with a 4-hour minimum, and the clock runs from the first pickup to the last drop-off. One 56-seat coach for 50 hotel guests over a 7-hour wedding came to $1,015 to $1,155 at a Dallas operator's rates and $2,450 in Chicago, before a 15 to 20 percent tip. Choose one big coach over several vans once more than about 28 people ride, and only book two separate trips when the whole day runs past two minimums.
Most answers to this question give a national range and a list of vehicles. The range is wide because the price is not set by the vehicle alone. It is set by the vehicle times the hours it is held, and the hours come from your own day. This guide takes one wedding, works out those hours, and prices them at three published rate cards.
What couples spend
Transport is easy to leave out of a budget. Zola's 2026 wedding spend survey found that 32 percent of couples bought transportation, such as shuttles or a getaway car, as one of the extras that were not part of their core budget. Together with the other extras and surprise fees, those costs added an average of $3,314 to a budget.
Our free budget breakdown starts transport and accommodation at 5 percent of what is left after a cushion, an editorial starting point rather than an average. On a $30,000 budget that is about $1,350, which is the number to test against the worked example below. Our guide to hidden wedding costs has the other lines that tend to arrive late.
Do you need a guest shuttle?
Not every wedding does. A simple rule:
- Guests sleep somewhere other than the venue, and the drive is more than a short walk. A shuttle keeps people who have been drinking out of their cars, and it brings everyone in at the same time, which keeps the ceremony on schedule.
- The venue has little parking, or charges for it. Ask before you count anything else.
- Most guests live nearby and drive. Then you probably do not need one. A car for the two of you may be all the transport the day needs.
If you have a hotel block, the shuttle runs between it and the venue. Our guide to the wedding hotel block counts 50 travelling guests from a list of 120. That is the group priced here.
Step 1: Work out the hours
The clock starts when the vehicle leaves for its first pickup and stops at the last drop-off. One Chicago operator says it in its own terms: the minimum "starts when the first shuttle departs, not when guests board". The vehicle and the driver are held for the whole span, including the hours your guests spend at dinner.
Here is a Saturday with the ceremony and reception at the same venue, 30 minutes from the hotel:
| Time | What happens |
|---|---|
| 4:15 pm | The coach leaves for the hotel |
| 4:30 pm | Guests board |
| 5:00 pm | Guests arrive, 30 minutes before the ceremony |
| 5:30 pm to 10:30 pm | Ceremony, dinner and dancing. The coach waits |
| 10:45 pm | The last run leaves the venue |
| 11:15 pm | Guests are back at the hotel |
That is 7 hours, from 4:15 to 11:15. The Chicago operator says most couples book five to six hours, and a 30-minute drive at each end is what takes this day to seven. Put your own times into the wedding day timeline first, then count the span from it.
Step 2: Choose the vehicle by how many ride
Fifty guests fit in one 56-seat coach in a single run each way. Smaller vehicles need more of them, or more runs, and more runs mean an earlier first pickup and a longer span.
Here are the published rates of three operators, read in October 2026:
| Vehicle | Seats | An hour |
|---|---|---|
| Ford Transit, Chicago | 14 | $126 |
| Sprinter, Chicago | 14 | $280 |
| Motor coach, Chicago | 56 | $350 |
| Coach bus, Dallas | 56 | $145 to $165 |
| Minibus, Dallas | 29 | $125 to $135 |
The Chicago operator sets a 4-hour minimum on wedding shuttles. The Dallas operator also sells packages: a coach for 5 hours at $875, and a minibus for 4 hours at $600.
A national charter company's pricing guide puts a full-size coach at $115 to $195 an hour, with most companies setting a 4 to 5 hour minimum. Chicago sits above that range, Dallas inside it.
Now price the 7 hours for 50 guests:
| Option | Sum | Total |
|---|---|---|
| One coach, Dallas | 7 × $145 to $165 | $1,015 to $1,155 |
| One coach, Chicago | 7 × $350 | $2,450 |
| Two Dallas minibuses, 58 seats | 2 × 7 × $125 to $135 | $1,750 to $1,890 |
| Four Chicago Transits, 56 seats | 4 × 7 × $126 | $3,528 |
One coach is the cheapest way to move a group this size in both cities. Per seat, the Chicago coach costs about $6.25 an hour against $9.00 for a Transit. The rule: once more than about 28 people ride, price one large vehicle first. Below that, one or two vans running a continuous loop are often enough; the Chicago operator calls that loop its standard approach.

The coach above waits five hours while your guests eat and dance. Could you book it twice, once for the arrival and once for the end of the night?
Only if the day is long. Each booking carries its own minimum, so two trips with a 4-hour minimum cost at least 8 hours. This day is 7 hours held in one go, so one booking is cheaper.
The rule: split the booking only when the whole span is longer than two minimums, 8 hours with a 4-hour minimum, and the operator agrees to it. Ask as well whether each trip is charged for the drive from the depot and back, which one charter company calls deadhead and says few people hear about until they ask.
What the rate card does not show
Two quotes for the same day can differ because of what each one includes. Ask about each of these, in writing:
- Gratuity. The Chicago operator says it adds none. Zola's tipping guide suggests 15 to 20 percent of the total for drivers, which is $368 to $490 on the Chicago coach. Our guide to tipping wedding vendors puts it with everyone else.
- Fees. The same operator shows a 6 percent card fee before you pay. Others add fuel, tolls, parking or permits.
- Overtime. If the last dance runs late, the coach does too. Ask the rate for an extra hour and how it is rounded.
- Distance. A charter company's guide says longer trips often add a rate per mile on top of the hourly charge.
The car for the two of you
Your own ride is a separate, smaller line. At the Chicago operator's published rates, a stretch limousine is $205 an hour with a 4-hour minimum, so at least $820, and an executive sedan is $125 an hour with a 3-hour minimum, at least $375. Both are before the tip.
The same counting applies. A car that takes you from getting ready to the ceremony and then waits for the send-off is held all evening. If all you want is the arrival or the getaway, ask for a one-way price, or ride with your guests on the coach.

The wedding day, hour by hour
Lay out the day from getting ready to the send-off, and see what still needs a time.

Putting the times where both of you see them
In Yes, I Do, the day screen starts with the usual moments, from getting ready to the send-off, and you set a start and end time for each one as it is decided, with a note for where, who and what to bring. Put the pickup times in the notes of the ceremony and the send-off, and the span you are paying for is there to count. For a wedding of 100 guests or more, the checklist adds "Arrange guest transport" about three months before the date, and the budget's Transport category holds the quote, with a due date on each payment. Your partner sees the same day and the same numbers on their phone.

Questions
How much does wedding transportation cost?
It depends on the hours more than the vehicle. A 56-seat coach for a 7-hour wedding came to $1,015 to $1,155 at a Dallas operator's hourly rates and $2,450 in Chicago in October 2026. A national charter company puts a full-size coach at $115 to $195 an hour with a 4 to 5 hour minimum.
Do I need to provide transportation for wedding guests?
It is not required, but it helps when guests stay at a hotel away from the venue, when the venue has little parking, or when there is an open bar. If most guests live nearby and drive, a shuttle is optional.
How many hours do you need a wedding shuttle for?
From the first pickup to the last drop-off, including the hours it waits. One Chicago operator says most couples book five to six hours. A 30-minute drive at each end of the night can make it seven.
Do you tip the wedding shuttle driver?
Yes, unless the contract already includes it. Zola's tipping guide suggests 15 to 20 percent of the total for drivers. Check the quote first, because some operators add gratuity and others leave it to you.
Is one bus cheaper than several vans?
Usually, once more than about 28 people ride. At one Chicago operator's rates a 56-seat coach costs about $6.25 a seat an hour, against $9.00 for a 14-seat van. For a small group, one van running a loop costs less than a coach.
How far in advance should you book wedding transportation?
Our free checklist by date puts it about four months before the wedding, once the venue is booked. A national charter company says spring and fall are peak season, and that booking then, or at the last minute, tends to cost more and leaves fewer vehicles to choose from.
