How the breakdown works
Your contingency comes off first and stays inside the budget. Then every amount you have fixed, such as a venue you have booked, comes off as it is. What is left is shared across the other categories by a starting weight, adjusted by the priority you give each one.
Change a priority and only the categories that are not fixed move. Fixed amounts never change unless you change them.
Example: a €20,000 budget. €2,000 held as contingency and €8,000 fixed for venue and catering leaves €10,000 for everything else.
Example: over budget. A €10,000 budget, €1,000 of contingency and €9,500 already fixed is €500 over. The calculator says so, and does not invent a plan that balances.
Illustrations, not average wedding costs. The starting weights are ours, and a place to begin: venue and catering 45%, photography and video 12%, attire and beauty 10%, flowers 8%, music 7%, transport and accommodation 5%, rings and ceremony 5%, other 5%, invitations 3%, of what is left after contingency.
What fixing an amount means
It means keep this amount as it is in my plan. It is not a payment or a contract, and nothing is recorded anywhere. To see when payments actually fall due, use the payment schedule.
Contingency
Something always costs more than the quote: an extra hour, a delivery, a replaced item. Holding part of the budget back means those land on money that is already set aside rather than on another category.
Why the per-guest figure is not the cost of one more guest
It is the whole budget divided by your guest count, fixed costs included. The venue, the photographer and the rings cost the same whether 60 or 70 people come, so one more guest adds much less than the average. Ask your caterer for their price per head for that.
