Numbers How many tables by guest count
How many tables for a 250 person wedding: 32 rounds of 8
One division, then the rest of the rental order: your table, the vendors, the cake and a room that has to hold two hundred and fifty people seated.

The short answer
For 250 seated guests, plan 32 tables of 8 (60-inch rounds) or 25 tables of 10 (72-inch rounds), and round up as already done here. That is 256 seats with 6 spare, or 250 seats with 0 spare. Then add your own table, a vendor table of 8, and about 8 service tables for the cake, cards, gifts and music.
A seated dinner for two hundred and fifty people is a hall, not a restaurant room. The table count below is the guest tables only. Service tables, a dance floor and a bar still have to fit. The comfortable numbers are 8 at a 60-inch round and 10 at a 72-inch round, from rental catalogues. One more guest fits, and feels cramped at a plated dinner. Plan at the comfortable number.
Guest tables for 250 people
Count the people who will sit down to dinner: the guests who said yes, with plus-ones and children who need a seat. The two of you are not on that list.
With a sweetheart table. You sit at a small table of your own. All 250 guests sit at the rounds.
| Table | Division | Order | Seats | Spare |
|---|---|---|---|---|
| 60-inch rounds of 8 | 250 ÷ 8 = 31.25 | 32 | 256 | 6 |
| 72-inch rounds of 10 | 250 ÷ 10 = 25.00 | 25 | 250 | 0 |
With a head table of ten. You and eight in the wedding party sit facing the room, on three 8-foot rectangles. Those eight come off the guest count, which leaves 242 for the rounds: 31 tables of 8.
Do not leave 6 empty seats on the last table. Sit 26 tables of 8 and 6 tables of 7, so the room looks full and a few families have a little more elbow room. Older relatives and families with small children are the ones to give the roomier tables to.
The long version of this method, including rectangles and cocktail tables, is in how many tables you need. Whether you sit alone or with the wedding party is head table or sweetheart table.
The rest of the order
Guest tables are not the whole rental list. For 250 guests, a typical order is:
| What | Count | Why |
|---|---|---|
| Guest rounds of 8 | 32 | Seated dinner |
| Sweetheart or head | 1 | The two of you, or you plus the wedding party |
| Vendor table | 1 (8 seats) | Photographer, band or planner meals in the contract |
| Service tables | 8 | Cake, gifts, cards, guest book, escort display, DJ |
| Chairs | 288 | 266 seats plus about 8 percent extra |
| Centrepieces | 32 | One per guest table. 25 if you use 72-inch rounds |
72-inch rounds save on flowers: 25 centrepieces instead of 32. Our guide to what wedding flowers cost prices that difference, and what wedding rentals cost prices the whole order.

Building codes set a minimum floor area per person. Under the International Building Code, a room with tables and chairs needs 15 square feet per person, so 3,750 square feet for 250 people seated. That is the legal minimum, with nothing else in the room.
A planning figure is roomier: about 18 square feet of dining space each, or 4,500 square feet, plus the dance floor, the bar and the band. A room advertised for 300 standing holds about a third of that at dinner.
Ask the venue for its capacity for a seated dinner in the layout you want, then a floor plan with 32 rounds drawn on it.
Other guest counts. 220 guests, 225 guests, 275 guests, 300 guests.

Questions
How many tables do I need for 250 guests?
32 tables of 8, or 25 tables of 10, plus your own table and about 8 service tables. Round up, never down.
How many 60-inch round tables for 250 people?
32, which seats 256 with 6 spare. Spread the spare seats so you do not have one thin table.
How many 72-inch round tables for 250 people?
25, which seats 250 with 0 spare. That is 7 fewer centrepieces than 60-inch rounds.
How many chairs for a 250 person wedding?
266 seats at the guest tables, your table and the vendor table, then about 22 extra, so order around 288. Add a second set if the ceremony is in another room and staff cannot move chairs during cocktail hour.
When do I count the tables?
Twice. Once from the guest list, to get a quote and check the room. Again after the RSVP date, when the replies are in. That is the number the rental company needs. The RSVP deadline calculator gives you that date.
